Guidelines statement

The approved guidelines and procedures in this manual shall be followed for

all website development. Any other facility or department policy related to web development and presence shall not conflict with the guidelines or procedures established by the UF Health Web Services and its subcommittees.

UF Health Web Services is authorized by the President and CEO of UF Health, the Chief Information Officer of UF Health and the Chief Communications and Marketing Officer of UF Health to have responsibility for the development of guidelines and procedures related to web development and presence.

UF Health web guidelines are meant to enhance UF web and IT policies and UF Health IT policies. If UF Health web guidelines do not speak to a particular issue, computer users and website managers should consult UF Health web services, UF Health IT policies and UF IT policies.

Purpose

To establish consistency in the processes and practices throughout UF Health related to the development of web presence. Consistent with University policies and regulations, the University of Florida upholds the principles of academic freedom, shared governance and freedom of speech in the use of electronic resources by our faculty, students and staff.

Procedures

Governance

Governance of UF Health’s web development and presence shall be guided by UF Health Web Services. Web Services uses an informed, data-driven and strategic decision-making process to manage web development and content strategy.

  1. UF Health web services collaborates with subject matter experts to develop content models and workflows
  2. Web Services meets monthly with marketing teams to discuss site strategy and optimization
  3. Web Services meets monthly with senior communications leaders and presents to senior leadership on site development and strategy
  4. Any new guidelines/procedures are presented to the aforementioned groups.   Depending on the guideline/procedure under consideration, these parties may be included in the decision making process:
    1. UF Health / UF Human Resources
    2. UF Health / UF General Counsel
    3. Chief Information Officer, UF Health
    4. Chief Marketing and Communications Officer, UF Health
  5. Web Services will coordinate with UF Health Creative Services, Strategic Communications, and Marketing on aligning web templates with UF Health ad and UF Health branding.
  6. Web Services solicits input from web administrators, on recommendations to template changes or development of new templates. Web Services will evaluate these recommendations based on overall value to the academic health center as a whole, usability and accessibility best practices, and resource efforts to maintain new features.

Training and certification

Web Services is assigned the responsibility of ensuring web presence content updates, the development and review of annual training module(s), the enforcement of annual training, and the certification of Web administrators. Web content updates are to be completed according to schedule as outlined in the Maintaining Web Content guidelines. All Web administrators shall be certified and shall complete training on an annual basis to renew the certification.
